Managing Members
Members are the recipients of your messages. Each member can have multiple communication channels and belong to multiple team lists.
Understanding Members and Channels
TeamMessage uses a person-centric approach:
- Member β A person who receives messages (e.g., John Doe)
- Channel β A way to reach that person (e.g., SMS, Email, Voice)
- Address β The specific contact (e.g., +49170123456, john@example.com)
Example:
John Doe can have:
- π± SMS: +49170123456
- βοΈ Email: john@example.com
- π Voice: +49170123456
Each channel can be assigned to different team lists.
Adding a New Member
In your dashboard, go to 'Members' and click 'New Member'. You'll need to specify:
- Name β The member's display name
- Channel β How to reach this person (SMS, Email, Voice, Fax)
- Address β Phone number or email address
- Team Lists β Which team lists should receive messages for this member
Tip
Phone numbers can be entered in national format (0170123456) β they are automatically converted to international format (+49170123456).
Available Channels
TeamMessage supports multiple delivery channels:
- π± SMS β Text messages to mobile phones
- βοΈ Email β Email notifications
- π Voice β Phone calls with text-to-speech
- π Fax β Fax transmissions
Note
Voice and Fax require the team list to be configured for that delivery method. See 'Creating Lists' for details.
Adding Multiple Channels
After creating a member, you can add more channels:
- Click on the member's name to open their profile
- Click 'Add Channel'
- Select the channel type and enter the address
- Choose which team lists should use this channel
This allows the same person to receive messages via different channels depending on the team list.
Member Settings
Each member has configurable settings:
Active Status
Inactive members don't receive messages. Use this to temporarily disable delivery without removing the member.
Send Permission
When enabled, this member's email address is authorized to send messages to the team list (e.g., myteam@tmsg.de). This setting is relevant when the team list has 'Closed Group' enabled β otherwise anyone can send to the list.
Direct-Mail2SMS Permission
When enabled, this member can also send messages to phone numbers outside the team list by using the Direct-Mail2SMS format:
+49170xxxxxxx.myteam@tmsg.de
This is useful when you need to reach individual recipients who are not in your team list.
Tip
If you don't need team distribution and just want to send SMS to arbitrary numbers, a single member with Direct-Mail2SMS permission can handle all your messaging needs.
Team List Assignment
Each channel can be assigned to one or more team lists. When a message is sent to a team list, all active members with channels in that list receive the message.
Example:
John's SMS channel (+49170123456) could be in:
myteam@tmsg.deβ General notificationsmyteam-alerts@tmsg.deβ Critical alerts
His Voice channel could be only in:
myteam-oncall@tmsg.deβ On-call escalation
Import and Export
For managing many members, you can use Excel import/export:
- Export β Download all members as an Excel file
- Import β Upload an Excel file to add or update members
Note
The Excel format includes columns for name, channel, address, and team list assignments.
